We need a hit-the-ground-running Executive Assistant to support the CEO. The ideal candidate will strive to get things off Erica's list and take action independently to support her and her business.
We’re looking for someone who nerds out on all things process and operations and is also excited about contributing to the growth of Taxes By Erica.
Your day to day focus:
Improve customer experience
Customer Management (Project) - email tax returns and overall communication for client needs
Organizing/Managing customer request within SLA’s of business
Assist in month end close out for accounting clients.
Administrative / Process Focus:
Email and Calendar Management, Assigning of task to other employees - Accounting and finance team, BookKeeper,,
Plus the ability to create workflows in Asana
Set up new tasks for team members in Project Management system (Basecamp & Asana)
Consistently monitor and update due dates for team members and client requests
Creating and updating SOP’s
Monitor slack and set up tasks for action items within messages and channels
Follow up on all past due tasks in Project management system and implement a new timeline and plan for completion
Review project tasks on a daily basis to ensure due dates and priorities are correct
Manage the flow of information between team members and clients to ensure timely flow of information
Update or implement new strategies for managing customers, projects, processes as needed
Organize calendar and inbox
Schedule all appointments and meeting
Manage and facilitate Zoom Meetings
Take notes and provide post-meeting recaps
Skills required to be Successful in this:
Impeccable attention to detail
Strong writing skills
Foundational Quickbooks knowledge. Additional training can be provided, as needed
Proficient in Asana and Basecamp, ADP Run and Quickbooks , G-Suite, Slack, Dubsado
KPI’s to measure success in this role:
Attention to Detail, Knowledge of Bookkeeping such as pulling /preparing financial reports, uploading to CRM etc. Some US based tax knowledge is helpful but NOT required.
Inbox zero measurement - complete task
Follow up with clients consistently. Make sure appointment documents are completed.
Communication is huge
Workflow - everyone is on top of what they need and nothing is dropped
