Job Overview

The ideal person is someone who is already familiar with Texas Real Estate contracts and cares about the quality of their work.  Enjoys working in a fast-paced, small office environment. You’ll have a friendly, positive attitude, be a team player, and multi-tasker with a sense of urgency. You will also be interested in the long term of the business. We are seeking a self-motivated thinker, not just task manager who is detail oriented thinks outside the box, and is creative and involved. This job is responsible for the day to day support of Sales Agents and Office Management. Must be well organized, a self-starter who is able to learn new technology easily, provide excellent customer service, have great phone skills and be able to multi-task efficiently. General hours are Monday – Friday, 8:30-5:30 but some flexibility is required for client events. Many opportunities for advancement! We offer a fun and friendly office with great teammates! Responsibilities: • Build, implement and manage all systems for clients, lead generation, database management and back office support • Oversee all listing files and listing marketing (Brochures, flyers, online marketing, etc.) • Manage website, blog sites and social media • Act as a liaison between clients and agents • Participate in company-provided training sessions • Compile and distribute weekly/monthly reports to clients (buyers and sellers) • Manage contract to close process • Create and maintain an operations manual that documents all systems and standards • Be the first point of contact in handling customer inquiries and complaints • Create, maintain and utilize a complete lead follow-up system • Keep agent informed about challenges and issues that need to be handled • Provide concierge level customer service to clients and customers • Work with all preferred vendors, including professional photographers, contractors, etc. • Enter critical dates for property sales on shared Google Calendar • Shall send out weekly reminders of upcoming critical dates via email • Work with the title company as a secondary liaison on any necessary information/documentation to help get the property to a successful closing • Coordinate seller listing sign installation and removal at the appropriate times • Schedule photographers for all seller listings • Continue to take day to day office tasks away from agent, organizing workflow and reducing inefficiencies • Make sure that all signatures and initials required are present on the contract and addenda. • Ensure that all the needed addenda are included with the contract. • Fill out commission disbursement forms. • Open file with the escrow or title company. • Open and update the title search. • Send copies of the contract to the other agent, buyer, seller and lender (depending on the instructions of the agent). • Create a summary sheet that has all the contact information of parties, as well as the property address and photo. • Upload documents for shared viewing. • Send e-mails on a weekly basis that summarize the transaction’s status, as well as informing the agent of upcoming deadlines. • Make sure that everyone involved is provided with the necessary paperwork. • Request an Closing Statement for an agent to review. • Follow up with the escrow or title company on closing day. • Send reminders to remove lock box, get seller’s forwarding address and change status in MLS to “sold”
