Our growing, elite real estate family is seeking a highly organized professional to help the team service our customers with seamless, top-notch home owner analysis. We are seeking someone who enjoys research and excels in all things data analysis. Attention to detail, a systematic approach, execute problem solving, and exemplary communication skills are necessary to assist the team’s efforts in servicing our clients.

The Data Entry Specialist is an individual who is deeply committed to supporting the team in achieving greater levels of success and growing your own skills. They must provide stability, know-how, and efficiency to busy team members and have the ability to track shifting deadlines & priorities. They have a strong sense of urgency, but not at the expense of quality. In addition, he/she demonstrates on a daily basis the knowledge, attitudes, skills, and habits of a high achiever who is committed to putting our customers first, doing the right thing, and seeking win-win agreements. The Data Entry Specialist must be adaptable to change and be solutions oriented. He/She will manage the entire property analysis process efficiently and effectively to ensure al offers forl negotiations are accurate so transactions close on time, with little or no hassle to customers and third parties. This individual must provide exceptional performance.


Data Entry Specialist 

We are seeking a dedicated, organized data entry expert to join our growing organization. In this position, you will quickly and accurately transfer data from a variety of sources, including written and recorded reports. You must be able to correct existing data, update and develop new and existing databases and be comfortable working independently with large amounts of numerical and written data.

Data Entry Specialist Responsibilities & Duties include, but not limited to:

  • Update databases or records with new information as it becomes available

  • Correct and modify inaccurate files and records

  • Enter data into appropriate fields; databases, records, and files

  • Transfer data from written records, interviews, and paper formats via computer, recorders, or scanners

  • Handle numerical data accurately

  • Create and organizing spreadsheets with large numbers

  • Curate data directly from speech, including interviews

  • Update database or records with new information as it becomes available

  • Comply with security backups and regular checks to ensure data is saved and stored properly

  • Summarizing and compiling data for standardized reports

  • View and verifying confidential or private customer/client information;

  • protect the information and identities of customers/client

  • Verifying data by correctly checking and comparing source documentation

  • Organizing paper formats, paper backups, and material source files as needed

  • Research and import data from all sources

  • Review data entry and analyze each prospects property to ensure quality and accuracy for negotiations

  • Communicate with the Lead Department Manager about ongoing new data leads

  • Monitor and analyze the data entry process with negotiations and deliverability of hundreds of leads per week

  • Review a daily spreadsheet related to underperforming leads and make any necessary changes to positively affect our lead conversions

  • Update targeting information based on our needs

  • Add and update information in the system per request of the Lead Department Team

  • Adapt to ongoing changes and improvements made to all the proprietary systems

Data Entry Specialist Requirements & Qualifications

  • High school diploma; associate’s or bachelor’s degree in business, administration, real estate or related field

  • Two years previous experience in data entry or equivalent experience in a related field

  • Extensive knowledge of Microsoft Office Suite, particularly of Excel spreadsheets or similar softwares such as google sheets, numbers and/or open office

  • Strong attention to detail

  • Able to quickly and accurately type and enter data; knowledge of touch typing system preferred

  • Excellent verbal and written communication skills

  • In-depth understanding of databases

Key Accountabilities

  • Data Entry Experience is a MUST

  • A basic understanding of US geography

  • Computer software applications experience required MS Office, ERP, Google, Open Office, etc)

  • Ability to interact professionally with a diverse group of individuals, including executives, managers, and subject matter experts

  • Excellent organizational skills and ability to manage time effectively to meet deadlines

  • Excellent problem-solving and analytical skills

  • Possess the versatility, flexibility, and a willingness to work with constantly changing priorities

  • Ability to work independently and as a member of various teams

  • Must be able to read and speak the English language fluently
