Executive Assistant Job Description 

I am looking for a new Executive Assistant to support me in my role as Head Coach and Senior Partner of an online Personal Development Company for Women.  You will manage mostly business-related tasks for me such as email support, client liaison, diary management, article writing, marketing tasks, assist me in designing courses and be the implementer of my work.  I am a high performing big picture person so you will need to be highly organised, detail orientated, multiskilled and adaptable with a thorough understanding of Microsoft Office, Google Suite, Canva, and ideally Kajabi and Active Campaign.  We are an online businesses.  You will need to be a high performing performer and be talented at solving problems, be outcome orientated, can work unsupervised, have great follow through and have experience as a personal assistant in the past.

Personal Assistant Responsibilities:

Work closely alongside me to manage and implement tasks and projects I need to have completed.

Be able to document procedures and systemize my projects to increase efficiency and help me get more done in a day by taking tasks off me and completing them.

Organise my Google Account, file and retrieving records, documents, and reports.

Create Powerpoint presentations, upload video's, edit video's, use Canva to create headers, create ebooks and we use Kajabi and Zoom. 

Write and repurpose content into online reports, lead generation emails, special reports etc.

Help manage my clients, template responses, manage my emails, help prepare and organise for meetings/events.

Using various software, including word processing, spreadsheets, databases, marketing programs and presentation software.

Performing general office duties that include managing client records.

Experience as a Personal Assistant and VA and be able to multi-task, juggle multiple projects and be highly organised.

Opening, sorting and distributing incoming emails and other correspondence & general administrative support and tasks.



Executive Assistant Requirements:

Proven experience as a personal/executive assistant or other relevant administrative support experience.

In-depth understanding of the entire MS Office & Google suite.

Must be an intelligent, switched-on, quick learner, and have Professional level verbal and written communications skills and spoken English. 

Must be detail orientated, highly organize and able to manage a solid daily workload by prioritising tasks.

Must be able to meet deadlines in a fast-paced quickly changing environment.

A proactive approach to problem-solving with strong decision-making skills.

Desire to work fulltime, be flexible, a self-starter, reliable and looking for a long term position so you can grow and develop as an integral part of my team. 

Must be emotionally intelligent, hardworking, diligent, responsible, honest, do what you say you will do, keen to grow and develop new skills.

First off let's start with some information about who I am and what I do. I'm Fiona May from Women on Transition Our mission is to help women heal, grow and love themselves and others after divorce or separation. We help ladies that have gone through a challenging time to regain their confidence, step into their power and create the ideal future they really want. 

We provide coaching and support through online courses, events, group training calls and Webinars. We also have multiple Facebook groups and pages that offer free training and a safe place for these ladies to support and help each other.

I love what I do and we are looking for another great team member that will love what they do too. It's a very rewarding experience helping ladies learn the skills that will change their life and watching them grow as they work with us. The great thing about this job is that you will learn and grow using the same tools as our clients use plus you'll have free access to multiple training courses on mindset, personal development, social media, marketing, sales etc.

We are looking for an experienced and passionate assistant to work alongside me on a full-time contract basis.  We have a team of seven so you'll also liaise with them.

We need a go-getter that isn't afraid to work hard and get things done.  We want to grow the business, so you'll be an important part of our team.  We are in Perth Western Australia so the candidate will need to be available to work on Australian AWST hrs generally 9 am to 5:30 pm 5 days per week (some weekend work will be required and taken as time in lieu) and be available to talk on the phone/zoom during work hrs. We are looking for someone positive, proactive and be a doer by finding solutions to help improve the overall business.

Further Duties May Include:

Commenting, liking, sharing and engaging with the followers on all of the company socials 

Responding to comments and customer queries promptly

Encouraging people to join our programs, via commenting, posting and direct message

Monitor and report on feedback and online reviews

Assist me in organizing and participating in online events to build community and boost brand awareness

Get feedback from clients and do market research for us to do new posts and improve the business

Assist with marketing campaigns/events

Engaging with customers, their supports and 3rd party organisations in a professional manner

You must have a solid and stable internet connection, a good computer, be computer literate, be honest in handling confidential client information, have an upbeat and positive personality that loves to help people and is a quick learner.
