Job Overview

The role is supporting our Australian-based business. Working hours would be 9am-5pm Monday to Friday Australian EDST, however part time candidates that can work 9am-11am and 3pm to 5pm will also be considered.

The General Admin Virtual Assistant provides personal administrative support to the Managing Director (MD) of the company as a whole as the MD requires in a well-organised and timely manner. You will work one-to-one basis on a variety of tasks related to the MD's working life and communication.

Email & Schedule Management Tasks

  • Email Management (Filtering Emails/ Managing Spam)

  • Database Management (CRM Management/ Updating contacts)

  • Answering Customer Service Emails/ Enquiries/ Ticket/ Chat Support

  • Calendar Management (Sending Meeting reminders to client and MD)

  • Appointment Setting

  • Travel Arrangement and Planning

File Storage and Organization

  • Dropbox/ Google Drive Organisation

  • Data Entry in Microsoft Office/ Open Office/ Google Docs

  • Creating/ Managing Spreadsheet/ Excel

  • Google Sites (Documentation of internal processes and procedures)

Administrative & Blogging Tasks

  • Generating customer quotes

  • Coordinating design work with Designers based upon customer briefs

  • Report Creation

  • Phone support - trouble shooting and customer assistance

  • Voicemail Checking

  • Sending Client Invoices

  • Basic Bookkeeping (Data entry, account reconciliation using Quickbooks)

  • Personal Errands

  • Deadline/ Deliverable Tracking

Social Media Management

  • Posting and scheduling Facebook Insights/ Social Media Updates

  • Moderating Social Media comments

  • Answer all enquiries and messages on all channel and profiles

Email Marketing


  • Maintaining the customer relationship database, and improving communication with customers

  • Creating a new list in email marketing software/ tool

Visuals and Designs

  • Designing of social media photos for regular postings

Web and Maintenance

  • Moderating website comments or chats

Optional Requirements

  • Confident on the phone answering customer service enquiries and sales follow up

Staff Training

  • Facebook for Business (Advertising tutorials)

  • Google Suite (Docs, Sheets, Drive, Forms, Calendar, and Slides)

  • Klayviyo CRM

Other Tools

  • Xero

  • Shopify

  • Marketplace Software - Amazon, eBay, etc.


  • USD Paid Monthly directly into a nominated Philippines Bank Account
