•    To handle any and all administrative duties

•    To continue growth and learning of yourself and agent, take seminars, classes and read up on all the newest information and try to be innovative and ahead of the game

Duties:

•    Manage all incoming and outgoing correspondence in a confidential and professional manner

•    Calendar management

•    Prepare all packages Pre-list, Listing and File folders,

•    Document preparation with detailed review to ensure accuracy and send paperwork to clients for signing under the direction of agent

•    Assist in gathering of market data from various sources and the real estate board to assist agent with presentations to sellers/buyers. This is good prep work for CMA

•    Prep and send CMA with agent input and direction

•    Book photographer, stager, cleaner and any other services offered or part of listing/closing processes

•    Broker load listings to our website

•    Client care, gathering of feedback from showings on their listings

•    Co-ordinate meetings, appointments, and showings for agent when they are showing homes, home inspections, water tests, buyer revisits etc.

•    Attend Open Houses with agent – great guests, collect their info and give them handout

•    Co-ordinate property closings, ensuring all the documents are initialed and signed accurately, disbursement of paperwork to all parties including lawyers and mortgage brokers.

•    Entering of all listings and deals to office via our brokerage submission program as well as input of showing instructions

•    Maintain Social media business profiles and all networking sites

•    Developing, improving, and revamping of all office systems, filing systems, and procedures

•    Arrange and order client gifts

•    Maintain all electronic and hard copy files in a neat and orderly fashion

•    Send out any pre-list packages (seller survey, fav features)

•    Monitor and follow up on all sales/closing files

•    Maintain business supply inventory

•    Monitor website (new leads)

•    Send out Farm mailings quarterly

•    Send out Holiday Cards (for the appropriate holiday celebrated)

•    Send follow up letters to all clients

•    Monitor weekly, monthly, and yearly goals

•    Update and maintain all clients’ records with property/address info, purchase information, birthdays, home anniversaries, referrals in the database, CRM

•    Setting up those contacts with workflows within the CRM

•    Responsible for all data entry and reports

•    Ask personal people farm for referrals for the agent

•    Maintain and improve Office Policy and Procedure Manual

•    Run errands: put lock boxes on and off, pick up commission cheques, office products, bank, post office, delivering of deposits, running, and coordinating deliveries to and for client. Ie. gifts/packages

•    Run online lead generation systems, programs and nurture all leads

•    Client Appreciation – bring ideas, set up, book locations, pick up supplies, be in attendance to assist agent

•    Prep and organize invoices and receipts for quarterly submission to accountant

•    Website work with updating information or contacting website provider/designer with corrections and updated information
