Job Overview

We are looking for a Virtual Assistance that has had Experience in the Real Estate industry. This Assistant is an energetic individual with a team first attitude and a drive for success. The ideal candidate will possess a background in Real Estate, OR has had experience in real estate either as a salesperson or as an office or team administrator. The ideal candidate enjoys creating and implementing systems and procedures in an administrative atmosphere. This person will have a strong sense of urgency and must enjoy "to-do lists". The ideal candidate will work well with minimal supervision, gradually taking on more responsibility and leadership within the team.

Responsibilities:

This Real Estate Assistant's primary responsibilities include, but are not limited to:


  • Assist and support a Real Estate agent in all business areas needing assistance


  • Maintain database management system(s), mostly through my CRM


  • Handle requests and queries appropriately


  • Schedule meetings, showings and appointments - Calendar Management


  • Cold Calling in our farm area. 


  • Office filing and digitizing of meeting paperwork and real estate transaction paperwork


  • Social Media marketing and graphic design.

  • Coordinate between the Team and the Marketing Department for the ordering and finalizing of marketing materials pertaining to Listings, Business and Team Branding


  • Gather information using real estate sources and CRM to produce meeting reports, presentations and briefs


  • Enter meeting notes and set follow-up notes/reminders in CRM and file away for future meetings


  • Order and arrange for the marketing of House Listings with relevant parties and coordinate timing of pertinent steps with clients


  • Lead Management Assistance


  • Client Care Duties: assist clients through the selling, buying and closing processes and answer their inquiries


  • Social Media Duties: general upkeep and day-to-day posting to promote/market the Team


  • This person will LOVE checklists and "to do" lists and will love paperwork

Qualifications:


  • Outstanding organizational and time management skills; strong attention to detail


  • Up-beat, positive, team-oriented attitude


  • Tech savvy; up-to-date with latest office gadgets and applications; proficient in Google Suite of products and Microsoft Office


  • Ability to focus on task/projects and prioritize daily/weekly workload


  • Outstanding verbal and written communications skills


  • Takes initiative; independent personality; strong problem solving abilities


  • Ability to exercise sound discretion and confidentiality


  • * Familiarity with Canadian Real Estate industry is a bonus
