POSITION TITLE: Administrative and HR Associate
REPORTS TO: Administrative and HR Manager
Under the general supervision of the Administrative and HR Officer, offers help in effective planning, coordinating, and scheduling of programs to maintain good working environment.
Main Duties and Responsibilities:
Monitor Attendance, Tardiness, Vacation Leaves, Sick Leaves, Overtime and rest days by logging attendance and absences everyday to keep an up to date records.
Prepare attendance report by summarizing everyday attendance logs semi-monthly for payroll report every 11th and 26th of the month for a timely pay day.
Prepare Messenger’s itinerary by getting all the errands from different departments and arranging the trip according to the order of importance for proper monitoring and time management of the messenger’s tasks.
Monitor Purchase Requisitions of different departments by communicating to the suppliers and requesting for quotations to process the Purchase Order to buy the products or services of different departments.
Monitor office supplies by making the Purchase Requisition for the processing Purchase Order.
Prepare the Purchase Order of office supplies and pantry supplies by communicating to the suppliers and requesting for quotations to maintain the stock level before it runs-out.
Prepare the Purchase Order of vehicle repair and maintenance, comprehensive insurance and equipment repair and maintenance by communicating to the suppliers and requesting for quotation and schedule of services for proper maintainance of vehicles and equipment.
Coordinate vehicle registrations and renewal of government permits requirements by collating the documents before the scheduled date to avoid penalties.
Updates 201 files by filing every update on a weekly basis for proper documentation.
Receives letters, bills, and other correspondence for the company by distributing it to the proper department on the same day or the next day at the latest for immediate attention on the correspondence and processing of payments of the bills.
Receive calls by answering politely for proper transfer to the appropriate department.
