Performs routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, and providing information to callers.
DUTIES AND RESPONSIBILITIES: • Performs job functions consistent with St. Peter’s College of Ormoc’s Mission and Vision statements, as well as the Benedictine values and charism. • Uses computers for various applications, such as database management or word processing, power point presentations, as needed. • Creates, maintains, and enters information into databases. • Sets up and manages paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as inter-school communications, correspondence, or other material. • Makes copies of correspondence and other printed material. • Manages, Records, Updates paperwork or maintains documents of the specific job assignment • Operates office equipment, such as fax machines, copiers, or phone systems and arrange for repairs when equipment malfunctions. • Updates master list of forms in accordance with school procedures. • Opens, reads, and processes incoming paperwork. • Composes; types and distributes notices of meetings, routine correspondence and reports and route to respective offices. • Takes minutes of meetings and record and transcribe minutes as needed. • Conducts searches to find needed information, using such sources as the Internet. • Arranges for conferences, meetings, and travel reservations as needed. • Prepares and updates exhibit boards as needed. • Maintains scheduling and event calendars. • Manages petty cash and keeps records of disbursements and cash replenishment. • Orders/purchases office supplies as needed. • Prepares annual inventory at the end of the school year. • Greets visitors and callers, handle their inquiries, and direct them to the administrator according to their needs. • Entertains all complaints and refer accordingly to the office head. • Takes messages, directs calls, and answers telephone calls. • Develops constructive and cooperative working relationships with others, and maintain them over time. • Performs other related functions as may be assigned by the superior from time to time.
LIBRARY STAFF MARCH 2020 TO PRESENT
The library aide assists the librarian in ensuring the functioning and daily operations of the school library.
DUTIES AND RESPONSIBILITIES

• Assist the librarian
plan and advertise special library events
help students register for library cards
assist in working with databases and updating the library’s website and online services
organize materials and help students find resources for class assignments
teach students how to effectively use the library
answer questions about library services
• Assist teachers in finding materials for their classrooms • Assist with tasks related to loaning and recollecting library materials • Inspect returned books for damage and send out due notices for unreturned items • Monitor the students’ use of resources in the library and computer laboratory • Assist in the operation of audiovisual equipment, projectors and photocopy machines, as needed
CORPORATE SECRETARY JULY 2018 TO PRESENT
• Keep an accurate record of all the minutes of the meetings of the Board. • Prepare the documents for the deliberation of the Board and notify the Trustees of the Board Meeting. • Transmit all communications to the Members of the Board. • Perform such other duties as may be assigned by the Chair or by a resolution duly adopted at any meeting of the Board
